How we handle your personal data when you write to us or become a member.

At ViA we take your privacy seriously. Here we explain, in simple terms, what data we process, for what purpose and what rights you have, in accordance with Regulation (EU) 2016/679 (GDPR) and Spanish Organic Law 3/2018 (LOPDGDD).

Enquiries and contact

  • Purpose: to handle your enquiry or request, whether sent via the contact form, by email, by phone or by WhatsApp.
  • Data: name, email, phone (optional) and the content of your message.
  • Legal basis: your consent (art. 6.1.a GDPR).
  • Retention: for as long as necessary to handle your enquiry and, afterwards, blocked for the legal periods during which liability could arise.

Becoming a member

  • Purpose: to process your membership application and manage your relationship with the association, including communicating information related to it.
  • Data: full name, email, phone (optional) and town/city.
  • Legal basis: your consent and, once you are a member, the membership relationship (art. 6.1.a and 6.1.b GDPR).
  • Retention: for as long as you remain a member and, afterwards, for the applicable legal periods.

Data marked as mandatory in the forms is necessary to handle your request; if you do not provide it, we will not be able to do so. We do not make automated decisions or create profiles using your data.

3. Recipients of your data

We do not share your data with third parties, except where required by law. To provide the service we rely on providers acting as data processors who access your data only for that purpose: the website hosting provider and the form service provider ([provider name]).

If any of them is located outside the European Economic Area, the transfer is covered by appropriate safeguards, such as the European Commission's standard contractual clauses or an adequacy decision. If you write to us via WhatsApp, your message is also processed by WhatsApp in accordance with its own terms.

4. Your rights

You may exercise your rights of access, rectification, erasure, objection, restriction of processing and data portability at any time. You may also withdraw your consent whenever you wish, without affecting data already processed.

To exercise these rights, write to us at info@veinsiamfitrions.org stating which right you wish to exercise and your name. We will respond within a maximum of one month.

If you believe we have not handled your data correctly, you may lodge a complaint with the Spanish Data Protection Agency (www.aepd.es).

We apply reasonable technical and organisational measures to protect your data against unauthorised access, loss or alteration. Please provide us with accurate data and let us know if it changes, so we can keep it up to date.
